Reports to the Executive Director
The Human Resources and Administrative Manager
is responsible for the following functions: Ensure Compliance for
employer and employee with federal and state Human Resources Laws;
Human Resources records management; Human Resources support for
the Executive Director and supervisory staff; Payroll, Benefits
and 403(b) administration. He or she directly supervises the staff
member(s) who support the Office, IT, Facilities, and Volunteer
programs.

Ensures that organization and all its employees comply with federal
and state human resources laws
·
Maintains all confidential human resource files and all necessary
human resource records
·
Assists the Executive Director and other appropriate directors
in human resources recruitment and administrative management
·
Oversees and administers payroll and PTO
·
Maintains the Employee Handbook
·
Monitors Employee Handbook policy and procedure compliance issues
·
Assists the Executive Director with planning and implementing monthly
Staff Day
·
Facilitates employee training
·
Maintains OSHA and HIPAA compliance
· Manages all aspects of organization’s
Benefits administration, including medical, dental, vision, life
and 403(b) program
· Manages insurance contracts
· Orders and inventories supplies as necessary
· Ensures proper administrative involvement and support for fund
raising events and programs
· Supports Executive Director as needed
· Supervises IT staff to ensure that
all organizational IT needs are met, including computer software
and hardware needs, telephone
and building security
· Ensures that facility, grounds and equipment are maintained safely
and are in good working order
· Executes and maintains contracts with third-party facilities contractors
and suppliers
· Supervises Volunteer Coordinator and
ensures that all volunteer needs for organization, including
office and special
events, are met
· Assists the Executive Director and
other staff in budget process
· Works with Controller to research finance issues and resolve problems
· Reports suspicion of animal abuse or neglect to Director of Animal
Care and Executive Director immediately.
· Reports any unsafe working conditions to Executive Director immediately.
· Maintains client, donor, volunteer and staff confidentiality at
all times.
· Follows Standard Precautions and other safety regulations at all
times.
· Attends staff meetings.
· Participates in shelter events as requested by Executive Director.
· Performs other duties as requested by the Executive Director, Director
of Animal Care and Controller.
· Bachelor’s degree in business, human
resources management or a related field.
· Minimum of three years working in a Human Resources or related
department.
· Minimum of three years working in a supervisory role, preferably
in Human Resources or a similar function.
· Must be familiar with current Human Resources laws.
· Minimum of one year experience with Benefits Administration.
· Competent in using Microsoft Office – Outlook, Word, Excel and
Access.
· Feels and expresses a genuine liking for animals and for working
in an animal care environment.
· Supports Operation Kindness’s mission and understands how it is
organized and functions as a non-profit organization.
· Is able to work equally well with paid staff members, clients and
volunteers.
· Is able to relate well to persons with varied backgrounds and beliefs.
· Has a positive attitude; is open to new ideas.
· Excellent verbal and written communication skills
· Detail-oriented with ability to multi-task on a variety of projects
concurrently
· Position requires lifting and carrying animals
and shelter materials weighting up to 40 lbs; when animals or materials
weigh over 40 lbs, another staff member will assist in the lifting
and carrying. Position also requires sitting or standing for extended
periods of time and speaking over the telephone.
May be exposed to unpleasant odors, noises
and animal feces. May be exposed to bites, scratches and animal
diseases.
